Choosing an AI assistant for your workplace isn't just about features — it's about data handling, compliance, cost, and how easily it integrates with your existing systems. For UK organisations, data residency and GDPR compliance are especially important.

The four most common enterprise AI assistants in UK workplaces are Microsoft Copilot (integrated with Microsoft 365), ChatGPT Enterprise (from OpenAI), Google Gemini (integrated with Google Workspace), and Claude for Work (from Anthropic). Each has different strengths, and the best choice depends on your organisation's existing tools, data sensitivity requirements, and budget.

UK Data Residency and GDPR Posture

Microsoft Copilot for Microsoft 365 processes data within your existing Microsoft 365 tenancy. If your tenant is configured for UK data residency, your Copilot data stays in UK data centres. Microsoft provides a comprehensive Data Processing Agreement (DPA) and does not use enterprise customer data for model training.

ChatGPT Enterprise (OpenAI) does not use enterprise customer data for training. Data is processed in the US by default, though OpenAI has been expanding its data centre presence. Check the latest DPA for specific residency commitments. OpenAI is SOC 2 Type II certified.

Google Gemini for Workspace processes data within Google's infrastructure. Enterprise Workspace customers can configure data regions. Google does not use Workspace customer data for model training in the enterprise tier. Google provides a GDPR-aligned DPA.

Claude for Work (Anthropic) does not use business-tier data for training. Data is processed in the US and UK. Anthropic provides a DPA and is SOC 2 Type II certified. Claude's constitutional AI approach is designed to produce safer, more accurate responses.

Pricing and Integration

Microsoft Copilot: Priced per user per month as an add-on to Microsoft 365 Business/Enterprise licences. Integrates directly into Word, Excel, PowerPoint, Outlook, and Teams. Strongest choice if your organisation is already on Microsoft 365.

ChatGPT Enterprise: Per-seat annual pricing, typically requiring a sales conversation for enterprise quotes. Accessed via web interface and API. No native integration with Microsoft or Google suites, though third-party connectors exist.

Google Gemini: Included in some Google Workspace tiers or available as an add-on. Integrates with Gmail, Docs, Sheets, and Meet. Strongest choice if your organisation uses Google Workspace.

Claude for Work: Per-seat monthly pricing. Accessed via web interface and API. Known for strong performance on long documents and nuanced reasoning tasks. No native office suite integration.

All four offer volume discounts for larger organisations. For public sector buyers, check whether the tool is available on an existing framework agreement (such as G-Cloud) to simplify procurement.

Getting an AI tool approved in a UK organisation typically involves several stakeholders. Here is a common approval path:

  1. Business case: Identify the use cases, expected benefits, and estimated cost. Quantify time savings where possible.
  2. IT/security review: Assess data handling, integration requirements, authentication (SSO/MFA), and any technical risks.
